Policy Options and Exclusions for Cars

When you click the Policy Options and Exclusions menu option for an existing car policy, the Policy Options and Exclusions screen appears. This screen allows you to configure policy options around preferred vendors, car size, and excluded vendors.

Note: The reason codes for travelers to select when booking out-of-policy travel are set up on the Reason Codes screen.

Preferred Vendors	Select one of the following radio buttons for applying policy to vendors set as preferred on the Preferred Vendors page: Mark preferred vendors as in policy regardless of car size (Marks all preferred vendors as in-policy and ignores car size as a policy condition.) Mark preferred vendors as in policy only if preferred car sizes are available (Marks preferred vendors as in-policy only if car size specified in the Preferred Vendors settings is also available.) Mark preferred vendors with negotiated rates as in policy regardless of car size. (Marks all preferred vendors with negotiated rates as in-policy and ignores car size as a policy condition.) Mark preferred vendors with negotiated rates as in policy only if preferred car sizes are available. (Marks preferred vendors with negotiated rates as in-policy only if car size specified in the Preferred Vendors settings is also available.) Note: For policy to be applied to a preferred vendor with negotiated rates, the RateCategory returned must be either "negotiated" or "corporate."
All Vendors	Select one of the following radio buttons if applicable: Mark all vendors as in policy regardless of car size (Enables traveler to book any car from any vendor and still be marked as in policy.) Mark all vendors as in policy only if preferred car sizes are available (Applies car size policy restriction across preferred and non-preferred vendors equally.) Note: If policy is based around preferred vendors, it is not recommended to use All Vendors as it can override preferred vendor markings.
Exclusion Options	Display only in policy rates: Select this option to display only rates that are in-policy. In some cases, travelers may see only one rate option. Note: Using this option may affect adoption rates of booking tool if travelers feel they are not able to book schedule-friendly options. All rules restriction options are enforced by CBT, not policy. CBT needs to read setting and enforce it.
Save/Cancel	Click the Save button to save your settings or click Cancel to discard changes.

Note: Car size is determined by size, type, transmission and air conditioning specified on the Preferred Vendor screen and is not based on configured car size. For example, if the car size configured is FDAR, Universal Policy is looking at not only the F to determine in/out of policy, but also is considering the DAR. The match has to be on all four components if all four are configured.
